Government Print Solutions
Governmental agencies face unique print management challenges. Like their
commercial sector counterparts there is a strong push to streamline processes,
increase efficiencies, and reduce costs. And, because they are public
entities, there are often additional requirements with regard to requisition
approval, contract management, sourcing and print procurement, job awarding
practices, costing, public access to documents, and job archiving.
NewlineNoosh Government solutions have built a record of success with
government agencies for two key reasons:
- Technology - Print management and procurement software that provides
easily configurable solutions to match government requirements
- Professional Services - Our team applies a proven methodology to accurately
assess and define print project requirements and implement best practices
quickly
NewlineNoosh Government solutions include:
Automatic IPAC and GPO 2511/SF-1 Reconciliation
Numerous Government organizations currently streamline their
print procurement and workflow processes by using NewlineNoosh technology
to complete and pre-populate program information onto GPO (Government
Printing Office) forms 2511 (request for printing and binding) and Standard
Form 1 (SF-1 -- terms contract P.O.).
NewlineNoosh has taken the next step to help agencies further optimize
these processes by providing automatic reconciliation between the IPAC
(the Intra-Governmental Payment and Collection) system and GPO 2511 and
SF-1 forms. Agencies can upload IPAC files received from the GPO into
the NewlineNoosh software and then effortlessly, in a matter of seconds
or minutes, automatically reconcile the IPAC data received from the GPO
with their 2511 and SF-1 forms -- eliminating the significant overhead
and costs associated with manual reconciliation.
An additional benefit for government agencies that purchase print on behalf
of other organizations is that the automatic reconciliation will simplify
and streamline the bill back process.
GPO 2511 and SF-1 Form Automatic Program Population
NewlineNoosh technology uses an ASP-based application to create
a system or record where all the information entered by users, while completing
the GPO SF-1 and the GPO 2511 forms, is captured and maintained online
and is also available for printed distribution in Adobe PDF format.
NewlineNoosh specifications (specs) use Smart Form Technology to auto-populate
fields and perform data validation. For example, when the user selects
a Program on the 2511 spec, the contract (Print Order No, Requisition
No., Jacket No, BAC) and contractor information (PO No., Object Class,
State Code, Contractor Code) are automatically filled in. In addition,
the stock, trim size, and other contract requirements are automatically
populated into form drop downs to ensure that contract requirements are
complied with when specifying the print job.
In addition to printing the SF-1 and Form 2511 in PDF format, the specs
can be saved as PDF files for electronic transfer to GPO as e-mail attachments,
which eliminate the time-consuming task of faxing hardcopy documents.
Simplified Purchase Agreement (SPA)
NewlineNoosh provides procurement support for the Simplified
Procurement Agreement (SPA) form. Now, like their commercial counterparts,
agency buyers can use the NewlineNoosh Print Procurement solution to simplify
processes, increase efficiencies and reduce costs.
NewlineNoosh Print Procurement infuses print purchasers with the critical
knowledge necessary to make well-informed print sourcing decisions. Agencies
can optimize procurement, to further control and reduce costs, using tactics
enhanced by NewlineNoosh technology, including: open bidding to create
competitive supplier environments, standardize vendor responses for easier
comparison, utilizing the spot market to weigh quality versus price decisions,
creating overall performance ratings of suppliers and strategies, contract
agreement enforcement and the aggregation of projects with similar specifications.
NewlineNoosh technology eliminates maverick buying and undocumented change
orders and helps to identify unfavorable pricing trends in real-time.
